Terms of Service

1. Acceptance of Terms
By accessing or using Slotbase at www.slotbase.cloud (the “Service”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree, do not use the Service.
These Terms apply to all users of the Service, including facility administrators, coaches, players, parents, and visitors.
2. Description of Service
Slotbase is a sports facility management platform that provides:
- Booking and scheduling management for sports facilities.
- Player, coach, and membership management.
- Payment processing and invoicing.
- Event management and enrollment.
- Calendar integrations (including Google Calendar).
- Communication and notification features.
The Service is provided on an “as is” and “as available” basis. We may modify, suspend, or discontinue any part of the Service at any time with reasonable notice.
3. User Accounts
3.1 Eligibility
You must be at least 18 years old to create an account. Minors (under 18) may use the Service only through a parent or guardian's account. Parents and guardians are responsible for their children's use of the Service.
3.2 Account Security
You are responsible for:
- Maintaining the confidentiality of your account credentials.
- All activities that occur under your account.
- Notifying us immediately of any unauthorized use at support@slotbase.cloud.
3.3 Account Roles
Users may hold one or more roles: Platform Admin, Facility Owner, Facility Admin, Facility Staff, Coach, Player, or Parent. Each role has different permissions and responsibilities within the Service.
4. Facility Administrator Terms
If you register as a facility administrator, you agree that:
- You are authorized to represent the facility and manage its bookings, members, and payments.
- You are responsible for the accuracy of facility information (name, address, operating hours, pricing).
- You will not use the Service to discriminate against users on any prohibited basis.
- You are responsible for complying with local laws regarding sports facility operations, tax obligations, and data protection.
- You will honor bookings confirmed through the platform or provide reasonable notice of cancellation.
- Subscription fees for Pro and Enterprise plans are billed monthly and are non-refundable for the current billing period.
- You may view enrollment billing status (including auto-pay status, card brand, last four digits, and next billing date) for enrolled members. You may generate auto-pay setup links to share with parents, and disable auto-pay on their behalf when requested.
5. Player and Parent Terms
If you use the Service as a player or parent, you agree that:
- Bookings made through the platform are subject to the facility's cancellation and refund policies.
- You will provide accurate personal information (name, date of birth, contact details).
- Parents are responsible for bookings and payments made on behalf of their children.
- You will comply with facility rules and safety guidelines during booked sessions.
- Payment obligations are between you and the facility. Slotbase facilitates but does not guarantee payment processing.
- If you enable auto-pay for an enrollment, you authorize recurring monthly charges to your saved payment method via Stripe. You may disable auto-pay at any time from your account, or request that the facility admin disable it on your behalf. Disabling auto-pay does not cancel your enrollment; billing reverts to manual invoicing by the facility.
6. Payments and Billing
6.1 Payment Processing
Online payments are processed through Stripe. By making a payment, you agree to Stripe's Terms of Service. Slotbase does not store credit card information on its servers.
6.2 Offline Payments
Facilities may accept offline payments (cash, check, Venmo, Zelle, etc.) recorded through the platform. These transactions are between you and the facility.
6.3 Refunds
Refund policies are set by individual facilities. Contact the facility directly for refund requests. Slotbase does not mediate payment disputes between facilities and users.
6.4 Platform Subscription Fees
Facility subscriptions (Pro, Enterprise) are billed monthly via Stripe. Subscriptions auto-renew unless cancelled. Downgrades take effect at the end of the current billing period.
6.5 Enrollment Auto-Pay
Facilities may offer automatic monthly billing for program enrollments. When you enable auto-pay, you save a payment method through a secure Stripe-hosted page. Key terms:
- Your payment method is stored securely by Stripe, not by Slotbase. Slotbase only receives your card brand and last four digits for display purposes.
- You will be charged automatically each month at the enrollment rate displayed at the time of setup, including any applicable sibling discounts.
- You or your facility admin may disable auto-pay at any time. Disabling auto-pay does not cancel the enrollment itself.
- A facility admin may generate a setup link on your behalf and share it with you. Completing the setup link authorizes recurring charges.
- If a charge fails, your subscription status changes to “past due.” Stripe may retry the charge according to its retry schedule. You can update your payment method at any time.
7. Third-Party Integrations
The Service integrates with third-party services including Google Calendar, Stripe, and Clerk. When you connect a third-party service:
- You authorize Slotbase to access and use data from that service as described in our Privacy Policy.
- You remain bound by the third-party service's own terms and policies.
- You can disconnect any integration at any time through your account settings.
- Slotbase is not responsible for the availability, accuracy, or conduct of third-party services.
8. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of applicable laws.
- Impersonate another person or entity.
- Interfere with or disrupt the Service, servers, or networks.
- Attempt to gain unauthorized access to any part of the Service.
- Use automated systems (bots, scrapers) to access the Service without written permission.
- Upload malicious code, viruses, or harmful content.
- Harass, abuse, or harm other users of the Service.
- Create fake bookings, facilities, or accounts.
- Circumvent any access restrictions, rate limits, or security measures.
Violation of these rules may result in immediate account suspension or termination.
9. Intellectual Property
The Service, including its design, code, features, content, and trademarks, is owned by Slotbase and protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works from any part of the Service without written permission.
Content you upload (facility logos, event descriptions, profile photos) remains your property. By uploading, you grant Slotbase a non-exclusive, worldwide license to display and use that content within the Service.
10. Limitation of Liability
To the maximum extent permitted by law:
- Slotbase is provided “as is” without warranties of any kind, whether express or implied.
- We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
- Our total liability for any claim related to the Service shall not exceed the amount you paid us in the 12 months preceding the claim.
- We are not responsible for injuries, losses, or damages occurring at sports facilities. Facility operators are responsible for their own safety standards and insurance.
- We are not responsible for the accuracy of information provided by facility administrators or other users.
11. Indemnification
You agree to indemnify and hold harmless Slotbase and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.
12. Termination
You may close your account at any time by contacting support@slotbase.cloud.
We may suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or if required by law. We will provide reasonable notice when possible.
Upon termination, your right to use the Service ceases immediately. Data retention after termination is governed by our Privacy Policy.
13. Dispute Resolution
Any disputes arising from these Terms or the Service will be resolved through binding arbitration, except where prohibited by law. Before initiating arbitration, you agree to attempt to resolve the dispute informally by contacting us at support@slotbase.cloud.
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles.
14. Changes to These Terms
We may update these Terms from time to time. Material changes will be communicated via email or a notice within the Service at least 30 days before taking effect. Your continued use of the Service after changes constitutes acceptance of the updated Terms.
